Park & Brown Independent Opticians part of NOOR EYECARE GROUP is committed to respecting and protecting your privacy.  We strive to be transparent about the personal information we hold giving you control over how it is used.

This policy regarding your privacy sets out the types of personal information we collect about our customers, why we collect it and how we use it.  It also provides you with information about your rights and who to contact if you have any questions or queries.

We want you to feel safe and trusted with the information we hold and use.

We may update our privacy policy from time to time in the future so it’s important that you check it from time to time.  If any important changes take place, we will update our website and in-store documentation to inform you. Where necessary we will email you so if you have an email address where we can contact you please advise us on your visit, by email or telephone call.

  • Your consent to undertake ophthalmic examination procedures AND diagnostic imaging

  • Financial information such as bank details, credit and/or debit card details
  • Images obtained from in-store CCTV
  • Details of other persons who are named as your next of kin or health care providers or referees
  • Educational and professional qualifications
  • Employment history (if applying for a job role)

How do we use your personal information?

We may use the personal information we hold about you in different ways for different purposes.  These are listed and described below:

  • Where it is necessary to provide eye care or treatment, or for the management of health care systems and services which are under the responsibility of a registered eye care professional.  This includes performing any form of ophthalmic examination, such as an eye examination (sight test) and/or a contact lens-related consultation.
  • Where it is necessary to analyse clinical or patient-reported outcomes of vision corrections which include information obtained at eye examinations, contact lens consultations and during ophthalmic procedures, provided by Park & Brown
  • To carry out our obligations arising from any contract entered into or with the intention to enter into a contract (between you and us) and it is necessary to provide you with a service and/or vision correction solution/product, such as to fulfil orders for glasses, contact lenses, ocular lubricants or medications ad contact lens cleaning solutions.  If you don’t provide us with your personal information we will not be able to provide you with our services
  • Where you have given consent to provide you with Park & Brown marketing information.  We will generally ask for consent to provides you with information about the products or services from  that we feel may be of interest to you
  • Where it is necessary to meet a legal or regulatory obligation set by our regulators, such as the General Optical Council (GOC) and our data protection supervisory authority the Information Commissioner’s Office (ICO)
  • Where it is necessary to defend, establish or exercise our legal rights.  This will include our right to pursue or defend a legal claim
  • For the investigation, prevention or detection of criminal conducts, and in order to protect our premises, our staff and customers
  • For reasons of substantial public interest such as fraud protection and credit risk reduction

We may share your personal information within the NOOR EYE CARE group or with third parties (described below).  Personal information is shared for the following reasons:

  • For our general business administration with any member of our group below
  • A third party contracted to assist us to provide services to you, to help us improve our services and where we have a legal or regulatory obligation.  Disclosure of your personal information will only be made where there is a contract in place and the third party has agreed to keep your information confidential, secure and that it shall only be used for the specific purposes for which we provide it to them
  • For development and clinical purposes and the subsequent benefit of the wider ophthalmic community in an anonymous  manner

  • We will only do this is where we have your authority to do so.  Your relatives, associates, representatives or organisations will not be informed, again, unless we have your authority to disclose the information
  • Your medical, social and welfare adviser(s) or professionals
  • Eyecare professionals
  • NHS health boards
  • Our service providers such as IT and software suppliers, auditors, lawyers, marketing and PR agencies.  Other suppliers and providers of goods and services associated with our products and services
  • Regulatory authorities such as the General Optical Council (GOC) and our data protection supervisory authority the Information Commissioner’s Office (ICO)
  • NHS fraud teams, the police and other law enforcement agencies

Where we store your personal information

Personal information you provide is stored on paper records, and our in-store hard drives.  Payment transactions are taken over the phone or in-store and no card information is stored.

The transmission of information via the internet is not completely secure.  Although we will do our best to protect your personal information, we cannot guarantee the security of your data that is transmitted by you to our website; any transmission is at your own risk

 

How long do we keep records for?

We will only keep your personal information for as long as reasonably necessary to fulfil the relevant purpose set out in this privacy policy and to comply with our legal and regulatory obligations.  How long we keep your personal information will vary according to its nature and how we use it. This is largely defined by our regulatory and legal obligations. We generally keep health and medical records for up to 10 years from the end of our relationship with you; if there is a dispute or legal action we will keep your records up to 10 years.

In certain circumstances, you have the right to ask us to stop using your personal information, for example where you believe the information we hold about you is inaccurate.  However, we may not fulfil such a request if there are legal or regulatory obligations that mean we cannot do so or where it is necessary to continue eye care services or treatment

The right to data portability

In certain circumstances, you have the right to ask us to transfer personal information, that you have provided to us, to another third part where this is technically feasible.  Once your personal information has been transferred to a third party, of your choice, they are responsible for safeguarding your personal information
